As the International OB Concierge, you will be responsible to coordinate the obstetrics care of our Portuguese-speaking patient population for the entirety of their care journey, from the set-up of the initial appointment, through the duration of their care with our group.
You will be a primary contact for these patients via phone, email, and direct messaging.
Patient intake which includes gathering patient information, demographics, and any necessary medical records.
Prepping medical charts per direction from the physicians and Clinical Manager.
Registration of any patient accounts as needed.
Appointment scheduling and follow up of patients through various methods of contact, such as, WhatsApp, phone calls, emails, etc.
Coordination of virtual visits.
Answering patient phone calls and addressing questions or concerns, forwarding issues to appropriate departments, and coordinating follow up to patient.
Act as chaperone during visits when needed.
Acting as liaison between the hospital finance department and the patient; provide financial counseling as needed.
Work closely with the Billing Coordinator for various prices and billing practices.
Consistent communication with the Patient Access Manager to ensure that there is awareness of any challenges and any needed changes to the workflows.
Assist with standard check in and registration processes for additional patients outside of the international OB program.
Demonstrate and embodies the Women's Care mission and core values.
Compliance with all HIPAA rules, regulations, and guidelines.
Other duties as assigned.
Qualifications:
MUST be fluent in English and Portuguese (both spoken and written).
Minimum 1 year of experience working in a medical office setting; OB/GYN preferred.
Computer proficient and able to learn new systems quickly.
Experience working with an electronic health records system a plus, specifically eClinicalWorks.
Ability to balance multiple tasks and prioritize as needed.
Excellent interpersonal skills with a customer-centric mindset.
Must be polished and professional in appearance and demeanor.
Must be dependable, reliable, and punctual.
